Being a web based system the system can be accessed through computers, tablets and smart phone; web browser is all you need. With the usage of wireless technology organisations can be able to manage vehicles, diagnose and report engine problems from information contained in their timely, periodic updates. Organisations can monitor driver behavior, speed and hours, obtain records on fuel consumption. Fleet Management System will provide users the ability to track work history and other pertinent information for company vehicles.

The Fleet Management System will be developed using Microsoft .NET Framework which will allow the end users to access the application in a multi-location scenario ensuring the flow of information across the organization. Fleet Management Featured Modules Vehicle Information o

System captures all the important vehicle details such as Registration Number, Model, Manufacturer, standard Mileage given by Manufacturer, Date of purchase, etc. The system allows vehicle transfers within the organization.

Driver Management o

The system manages the driver Information and the driver’s operational and performances data against the vehicle(s) has been assigned to. The system will show the drivers performances against the turnaround time, mileage,

fuel

consumption,

vehicle

maintenance&

repairs,

tire

management, etc. Fuel Management o

System facilitates the fuel ratios feature as per the Vehicle Manufacturer and

will

calculate

fuel

consumption

per

distance

covered

in

consideration of the road condition (good road and bad road). This featured level of insight gives greater control and enables decision makers to start making fuel savings and act fast to reduce and control the amount spent on fuel. Log book Entities o

System provides the logbook for entering the Vehicle logs and automatically calculates balance fuel supposed to be in the vehicle’s fuel tank; the system will determine whether the fuel adding is necessary on the request of a driver.

GPS Integration

The system is open to the integration with GIS for capturing the GPS information in relation to tracking of the vehicle. The system then will provide various reports in relation to the positioning of the vehicle at any given time, not only dots on a map, the system will provide detailed, realtime data to compare routes, speed, mileage and fuel consumption across your fleet.

Insurance & Other Expiry o

System provides alerts prior to the expiry of Insurance policy(ies), Motor Vehicle License(s) and other Government related stickers. System offers the flexibility of defining the alert periods and the users/employees to be alerted

Maintenance Scheduling o

Vehicle maintenance is very critical part in vehicle management which should not be overlooked; with this consideration the Fleet Management software gives the facility for defining the maintenance schedules of all types of services such as Filters and Oils for Servicing of the Vehicle on the basis of Kilometers. Further to that the system is having the Maintenance Periodical Tracking feature which provides alerts when the vehicle needs maintenance along with the maintenance history for the serviced vehicles.

Mileage Tracking o

System will give ad-hoc reports on the mileage performance of the vehicle. The reports filtering allows generation of daily, weekly, monthly, annual reports or any period of time required by the user.

Spare Parts Management o

The feature tracks the spare part usages, and allows the issuing of a new spare part in vehicle (replacement). The system gives the historical data on the spare parts usage and the kilometers covered for such spare part in a certain vehicle.

Tire Management o

At any point of time the System is able to give the information on the tires running on each position (alignment) of the vehicle and kilometers covered by each Tire. System provides analytical data which supports the decision making on basis of Tire Brand/Manufactures/ types and material which are cost effective and long run.

Tools Tracking o

System tracks the tools carried by each vehicle on dispatching from the office and on arrival to the office. The system further provides the historical data on tools tracking.

Work Order and Labor Tracking Management o

Work Orders can be created easily in the system with minimal amount of keystrokes, offering a quick and easy method to get the repair history entered for a piece of equipment. The data entered is updated immediately giving up-to-the-minute tracking of the Inventory, Equipment, Technician productivity, etc.

Application Architecture The Fleet Management System has been developed using the 3 Tier Architecture consisting of three layers (Presentation layer, business layer and data layer). The end user gets the application screens in a browser and as the user submits the transactions the data goes to the database through the business process (middle layer), this reduces the application maintenance time as everything comes from the server, if any changes are to be made it is sufficient to make them at server level. User interface provides user an interface to enter data into the application. Each web form contains input controls, buttons, user controls, (reusable ASP.NET pages) and code behind file, which implements the validation functionality, initiates business logic objects.

Business logic assembly and encapsulates business process of each module of the Fleet Management System. The component comprises of different classes to deal with associated screen functionality database connectivity functionality, which is common to all the modules of the application. Database The transactions done using the Fleet Management System are stored in a Database Server (MS-SQL Server). System will provide an interface for Database administrators to maintain the database server remotely from time to time.
